## It's eleven at night and someone wants to book

Picture the scene: it's 10:40 pm and someone decides that tomorrow they want a haircut, that noise in their car checked, or the toothache they've been putting up with for days sorted out. They take out their phone, search for your business and find two pieces of information: the phone number and the opening hours. Tomorrow they may well forget. And if they don't forget, they will call another place where booking can be done on the spot.

That is the whole argument in favour of online bookings: your customers no longer decide only during business hours. They decide at night, on the bus, in the supermarket queue. A website with appointment booking over the internet turns that decision into a confirmed appointment while you are having dinner.

## Every call you don't answer becomes another business's customer

An uncomfortable but real fact: many people no longer leave messages on voicemail or call back twice. If there is no response on the first attempt, they open the next result on Google.

With online bookings this problem partially disappears: even if you are serving another customer or your hands are full, the booking comes in all the same. Second: there is no visible availability; negotiating a slot over messages ends up feeling like an auction. Third: none of those conversations feed your calendar automatically — someone has to transfer them by hand.

The formula that works best combines both: the website as the main booking system, always available, and WhatsApp as a quick door for questions and urgent matters. New customers book on the web; regulars write to you.

## Three levels of booking: choose according to where you are

You don't need to start with a sophisticated system. There are three stages:

1. **A simple contact form with a preferred date.** The bare minimum. Someone reviews requests every morning and confirms them. Better than nothing, but there is still human waiting time in between.

- **Dental clinic**: automatic reminders drastically reduce absences, and cancellations free up slots that another booking takes immediately.
- **Restaurant**: diners secure their Friday table without waiting for someone to pick up the phone between the stoves.

Very different businesses, same mechanism: removing the phone call from the path between what the customer wants and the confirmed appointment.

## The most common mistakes with web bookings

Watch out for these stumbles, because they repeat themselves constantly:

- Hiding the booking button in the footer or behind three clicks.
- Kilometre-long forms asking for more information than a mortgage application.
- Not showing prices or ranges: "ask for a quote" pushes people to the phone and kills half of the bookings.
- Never adjusting availability: phantom slots and bad moments at reception.
- Leaving confirmations manual: one busy day and you no longer know what came in.

None of these cost money to fix; all of them cost customers as long as they last.

## Final checklist

Before signing off on your current website, check:

- You can book (or request an appointment) from the first screen, on mobile.
- Availability is real and updates itself.
- Confirmation and reminder arrive without human intervention.
- The WhatsApp button exists, but doesn't replace the booking system.
- Services with prices are visible near the booking button.
